AI for accountants using Xero

Luxxstack is building AI bookkeeping for accountants using Xero, with a practising UK accountant. It works alongside Xero's own AI features: clients' receipts and invoices are read and checked, clean ones are posted, missing evidence is chased and anything unclear waits in a review queue. It's in build, and the accountant stays in control.

AI integration programmes

Want the whole practice covered?

Some practices will want more than one teammate: AI for bookkeeping, for client chasing and for admin, working together with you approving what matters. That's our custom AI systems work. You can also start with a single AI Teammate.

Your plate, lighter

What it takes off your plate

Documents come in the easy way

Clients send receipts and invoices by WhatsApp, email or upload, whichever suits them.

Every document checked

It reads each one and checks it's legible, complete, consistent and not a duplicate.

Clean ones posted to Xero

Anything it's unsure about goes to a review queue for you instead.

Missing paperwork chased

It compares bank transactions in Xero with the paperwork it has, then chases clients with friendly reminders that step up over time.

VAT checked

VAT numbers are checked, reverse-charge VAT is flagged and the reasoning for each decision is kept.

An easier month-end

The evidence is there before you need it, so you're not hunting for it on the last day.

Alongside Xero

How we work with Xero's own AI

Xero has AI features of its own, including an assistant called JAX, and they work inside Xero. We don't try to replace them. Our build sits around Xero: it takes documents in from clients on WhatsApp, email or upload, checks them, chases what's missing and only then posts to Xero. The decisions stay with the accountant.

Making Tax Digital

MTD for Income Tax means evidence is needed all year

Making Tax Digital for Income Tax is being phased in, starting in April 2026 for the highest incomes and widening over the following years. It asks for digital records and quarterly updates, so receipts and invoices can't wait until the year-end scramble.

That's where evidence chasing earns its keep. If the paperwork arrives and gets checked as the year goes on, each quarterly update has what it needs. Check current HMRC guidance for the dates that apply to each of your clients.

  • Evidence chasing: reminders go out when a bank transaction has no paperwork.
  • The review queue: anything unclear waits for you, with the reasoning attached.
  • A record: every decision is logged, so you can show your working.

Straight answers about your own business

These examples are illustrative.

Which clients still owe receipts for September?
Six clients have unmatched transactions. I've listed them with the amounts and sent the first reminder to four of them.
Which transactions over £500 have no invoice?
Five. Two are from suppliers the client has used before, so I've asked for the invoices. I've left three for you to look at.
Why was this invoice held back?
The VAT number didn't check out, and it looks like reverse-charge VAT may apply. I've kept my reasoning with the document for you to review.
