The challenge
Accountants spend a lot of time chasing clients for receipts and invoices, then checking what arrives. Month-end turns into a hunt for missing evidence.
What we built
Clients sent receipts and invoices by WhatsApp, whichever was easiest for them.
The AI reads each document and checks it's legible, complete, consistent and not a duplicate. Clean ones are posted to Xero, and anything it's unsure about goes to a review queue for Josh.
It compares bank transactions in Xero with the paperwork it has, and chases the client for anything missing with friendly reminders that step up over time.
It checks VAT numbers, flags reverse-charge VAT and keeps the reasoning for each decision.
How it helps
Month-end gets easier, because the evidence is there before it's needed.
Nothing posts to the books without passing the checks, and Josh stays in control.
What's next
We run it for Josh every month and improve it as his practice grows.
