Full AI integration for a recruitment agency

This project is in build, so we'll keep the page honest about what's finished and what isn't.

The challenge

A recruitment agency lives on compliance and admin. Candidates need the right checks before they can be booked, clients need cover and timesheets sorting, and someone has to chase all of it.

That work was eating the time consultants should spend on clients and candidates.

What we built

A full AI integration across the whole operation. A team of AI specialists sits inside it, each with a real job: a Compliance Officer, a Bookings Coordinator, a Candidate Manager and a Recruitment Administrator.

Clients have their own portal. There's a candidate app, a partner agency network and AI chasers that go out from the agency's own inbox. Everything is built around how the agency already works, and the agency owns what we build.

How it helps

  • Compliance is built into every step. Checks live in each candidate's file, expiring documents get chased automatically and nobody non-compliant gets booked.
  • The AI specialists take the admin, so consultants spend their time on clients and candidates.
  • Clients request cover, approve or reject timesheets (with a reason) and see their bookings and spend in their portal. That cuts the calls and emails and leaves a clear audit trail.
  • A partner agency network picks up jobs the agency can't fill, so more jobs get filled.
  • A candidate app keeps availability, sickness, shifts and documents up to date without anyone chasing.
  • AI chasers start with approval and move towards automation as trust grows, so follow-ups happen on time and still sound like the agency.
  • A morning brief tells everyone what needs attention. Role-based access means recruiters see their own desk, managers see more and admins see everything.

What's next

We build in phases, most urgent piece first, and roll out one office at a time so we catch problems before everyone goes live. This one is still in build.
