How much is admin costing you?

Luxxstack built this calculator to give you a rough idea of what admin costs your business each year, and how much time you could get back. It uses your own numbers, and nothing is stored.

What you'd charge, or what that person costs per hour.

Your own estimate, not ours.

Admin costs you now
£18,200 a year
Hours you'd get back
260 hours a year
Value of that time
£9,100 a year

Our AI Teammate starts from £295 a month (£3,540 a year) plus setup from £495.

How we work this out

Yearly cost of admin = hours a week × value of an hour × 52. Hours back = hours a week × share you'd hand over × 52. Value of that time = hours back × value of an hour.

For example, 10 hours × £35 × 52 = £18,200 a year. At 50%, that's 260 hours back, worth £9,100.

This is a rough guide using your own numbers, not a promise of savings.

Where the hours usually go

  • The inbox. Reading, sorting and replying to the same kinds of message.
  • Chasing. Certificates, documents, invoices and people who haven't replied.
  • Paperwork. Forms, records and reports that have to be right.
  • Follow-ups. Quotes, leads and customers that need a nudge.

These are the jobs an AI teammate (or an AI agent) is set up to take on. You approve anything that goes out.

Questions people ask

How is the cost of admin worked out?

We multiply the hours a week you spend on admin by what an hour of that time is worth, then by 52 weeks. It uses only the numbers you type in.

Is the time saving guaranteed?

No. It's a rough guide based on your own estimate of how much you'd hand over. Real results depend on the work and how it's set up.

What should I put in for the value of an hour?

What you'd charge a client for it, or what that person costs you per hour. Either works as long as you're consistent.
